Importing a product list

What is a product list?

A product list is an Excel sheet that a user can fill in. This Excel sheet can then be imported into the system by PromoCat. This way, many products can be loaded at once and you always have a backup of these products.

Conditions

Before you fill in the product list, there are a number of conditions you must meet. These are requirements imposed by our system. If you go outside these conditions, we cannot import the product list.

  • Always stick to our format (Download format). So don't just delete columns that are in the standard format. These are required columns.

  • Don't just add columns that aren't in the format or aren't named in this documentation. We can't import names you make up yourself.

  • The image names in the list must exactly match the file name. If you have "bidon-blauw.jpg", for example, this must appear exactly like this in the list.

  • An image must always be filled in in the "Afbeelding 1" (Image 1) column. Without an image, the list cannot be imported. In addition, we only support JPG or PNG as file types.

  • Product images, by the way, have a format of 600 x 600 pixels; this is the ideal resolution. If this is not the case (the image is wider than it is tall, for example), the image is automatically scaled to 600 x 600 pixels and the empty area is filled with a white background.

  • A price must always be filled in for each product (regardless of which price tier). This can be an amount, "op aanvraag" (on request) or "gratis" (free).

  • All columns have a limit of 1024 characters. Only for "Productomschrijving" (Product description) does a limit of 65,536 characters apply.

  • The file must always be saved with character set (UTF-8) and " ; " separated. We only import UTF-8. If we import this differently, you'll see characters like "" appear. Preferably save as a .CSV file type (More information: Doc. saving as .CSV (UTF-8))

  • Every row you create in the list must have a unique variant code. Make it as unique as possible.
You can do this, for example, with your company name (Example: "PC1000-1, PC-1000-2, etc"); in this case, PC stands for PromoCat. A variant code may only occur once within one supplier, even if you use multiple product lists (multiple assortments)

  • It's forbidden to use a " / " in the following columns: Productcode, Productnaam, Variantcode, Variantnaam, Afbeelding and Prijs. This character is a delimiter, so in this case we can't import the list. In other columns this is allowed.

  • When making updates, we only accept Delta (new) images. Existing images do not need to be supplied again.

How does it work?

Download the product list (Download here).

Then open the product list in Excel or another program that can handle this (e.g. LibreOffice)

All the specifications listed here are required specifications. These must always be filled in and remain in place.

Then fill in the product list and save with character set (UTF-8). Preferably save as a .CSV file type and separated by " ; " (Doc. saving as .CSV (UTF-8)).

Adding categories to my product list

You can also add product categories to your product list. You can do this up to a maximum of 4 categories deep.

Important

It's not possible to add products to the standard PromoCat categories. You can only add products to your own customer categories or create new categories. This is case-sensitive. If one letter differs, a new category is created.

These categories are then taken into account during import (on request); the products are then placed in your webshop in the category indicated in the list. You can choose from the following rows:

Name (Add to product list)

Value

Explanation/notes

Subsubsubcategorie (Sub-sub-subcategory)

Text

The subordinate category of the 'Subsubcategorie' above.

Hoofdcategorie (Main category)

Text

The category without parent categories

Subcategorie (Subcategory)

Text

The subordinate category of the 'Hoofdcategorie' above.

Subsubcategorie (Sub-subcategory)

Text

The subordinate category of the 'Subcategorie' above.

Adding extra images to a variant

You can also add extra images to a product. You can do this by creating a column next to "Afbeelding 1" (Image 1) with, for example, "Afbeelding 2" (Image 2). You can keep doing this up to a maximum of 10 images.

The main image of a variant is always the most unique image within the product set (based on the file name). If, within the same product set (grouping of multiple variants), you have the same image as "Afbeelding 1" (Image 1) for all variants, and "Afbeelding 2" (Image 2) is unique for each variant, then the image from the "Afbeelding 2" (Image 2) column becomes the main image.

However, if the image is unique across all image columns, then "Afbeelding 1" (Image 1) is the main image.

Examples:

Name (Add to product list)

Value

Explanation/notes

Afbeelding 4 (Image 4)

.png, .jpg

The fourth image in the product list

Afbeelding ... (Image ..., max. 7)

.png, .jpg

The ... image in the product list

Afbeelding 1 (Image 1)

.png, .jpg

The first image in the product list

Afbeelding 2 (Image 2)

.png, .jpg

The second image in the product list

Afbeelding 3 (Image 3)

.png, .jpg

The third image in the product list

Important

When importing, it's important that the file name exactly matches the Excel. The system is case-sensitive when importing images. If you have "Afbeelding1.png", the list must not contain "afbeelding1.png" with lowercase letters.

Adding price tiers and setting minimum purchase quantities

In the product list, you can specify multiple product tiers. By default, "Prijs > 1" (Price > 1) is shown, where the 1 in this case symbolises the tier but also the purchase quantity.

If you want more tiers for one product, you can create new columns with, for example, "Prijs > 10" (Price > 10); the 10 in this case symbolises a tier of 10.

If you leave "Prijs > 1" (Price > 1) empty and only fill in "Prijs > 10" (Price > 10), the minimum purchase quantity will be 10. If you fill in both, the product will have a tier of 1 and a tier of 10.

Examples:

Name (Add to product list)

Value

Explanation/notes

Prijs > 1 (Price > 1)

Digits

The tier from 1 piece, where the 1 is also immediately a minimum purchase quantity.

Prijs > 50 (Price > 50)

Digits

The tier of 50 pieces. If this is the "lowest" tier I fill in, this is also immediately the minimum purchase quantity.

Prijs > .... (Price > ....)

Digits

Come up with your own tier.

Adding VAT to a product

It's also possible to add VAT to a product. You can do this by creating a new column called "BTW" (VAT). Under the "BTW" (VAT) column, you then fill in what percentage of VAT should be calculated.

Example:

Name (Add to product list)

Value

Explanation/notes

BTW (VAT)

Digits, numbers, text

Indicate which VAT percentage it concerns.

There are, by the way, several VAT percentages. An overview of VAT percentages can be found below.

Percentage (value)

Value

Explanation/notes

hoog (high)

Text

Indicate that it concerns a high VAT percentage of 21%

laag (low)

Text

Indicate that it concerns a low VAT percentage of 9%

0

Digit

Indicate that no VAT needs to be calculated. A percentage of 0% is charged.

Adding an EAN code to my product list

EAN codes are used for the Google Shopping Feed. If you use this and want to add these products to your webshop, you are required to add "EAN code" to your product list. If you don't, your Shopping Feed will be rejected by Google.

Name (Add to product list)

Value

Explanation/notes

EAN code

Digits, numbers

This is a unique combination of digits that identifies a product based on a European system.

Adding extra product attributes to my product list

Are you looking for more specifications to distinguish your variants? For example based on colour, version, weight, contents, etc. Then you can use the specifications below.

You can add these specifications in a new column after "Variantnaam" (Variant name) and before "Afbeelding 1" (Image 1). You do this by right-clicking a column and then clicking "Invoegen" (Insert). In this column, you then fill in the desired specification.

Note: You must fill in attributes per variant of your product set. If you use multiple variants, you must fill these in too.
