Sending invoices via Peppol in MijnPromoCat

Written by Wesley Strootman

Peppol is an international network that lets you send electronic invoices directly and securely to your customers. In this guide, you'll read how to set up and use Peppol within MijnPromoCat.

Important conditions

Before you can send invoices via Peppol, two conditions must be met.

1. Correct company details in your CMS

Check that you have entered correct company details in your own CMS:

  1. Log in to your back end (often accessible via cms.domeinnaam.nl)

  2. Navigate to Instellingen > Bedrijf (Settings > Company)

  3. Check that all company details have been filled in correctly

2. Chamber of Commerce (KVK) number per company in MijnPromoCat

A KVK number (or Belgian enterprise number) must be filled in for each company:

  1. Navigate to Klanten > Bedrijven (Customers > Companies)

  2. Find the desired company

  3. Click the company and choose Wijzig gegevens (Edit details)

  4. Go to the tab Bedrijfsinformatie (Company information)

  5. Fill in the KVK number

Please note: for Belgian companies, enter the enterprise number without "BE" and without dots.

An existing invoice doesn't have a VAT number yet

Did you already create an invoice before a VAT number was filled in? No problem, you can correct this on the invoice itself.

  1. Find the relevant order

  2. Navigate down and click the tab Facturen (Invoices)

  3. Click Bewerken (Edit) for the relevant invoice

  4. Fill in the VAT number field

Troubleshooting

I get an error message when sending an invoice

Go through the following points if sending doesn't work:

  • Is there a VAT number on the invoice? If not, fill it in. See above: An existing invoice doesn't have a VAT number yet.

  • Is there a KVK number on the invoice? If not, fill it in. See above: An existing invoice doesn't have a KVK/CoC number yet.

  • Has the correct KVK/CoC number been filled in? Check this by looking up the company in the Peppol Directory.

  • Is the customer registered to receive invoices via Peppol? You can also check this via the Peppol Directory. If the company isn't listed, it can't receive the invoice via Peppol (yet).

  • Have all (product) lines been filled in? If not, fill them in. See above: An existing invoice still contains empty (product) lines

  • Is there only one shipping line? If not, change it to one shipping line. See above: An existing invoice contains multiple shipping lines

Still stuck after these steps? Then contact us and we'll look into it further.
