Importing an imprint list

Written by Steven Veenstra

What is an imprint list?

An imprint list is an Excel sheet that you can fill in yourself. This sheet can easily be imported into the CMS, or imported by PromoCat if it's an external imprint sheet. With it, you can link your own imprint codes to products, including the associated values.

Conditions

Before you fill in the imprint list, there are a few conditions you must meet. These are requirements imposed by our system. If you ignore these conditions, the imprint list cannot be imported.

  • Always stick to our standard format. Don't delete any columns included in it; these are required columns.

  • Don't add new columns that aren't in the format or aren't named in this documentation. Names you make up yourself cannot be imported.

  • Always fill in a price for each product (regardless of the price tier). This can be an amount, "op aanvraag" (on request) or "0".

  • Indicate that setup costs are free by entering "gratis" (free), not "0".

  • There's no need to include symbols, such as the euro sign (€), in the list. Our system assigns the currency automatically.

  • The setup costs must be the same for each price tier within the same colour, full colour, engraving or embroidery. They may, however, differ per colour.

  • Avoid using a "/" in the following columns: Bedrukkingcode (Imprint code), Aantal kleuren (Number of colours), Instelkosten (Setup costs), Staffel (Price tier), Prijs (Price) or Variantcode (Variant code). This character acts as a delimiter, so the list cannot be imported. In other columns it is allowed.

How does it work?

Imprints can be added in 2 different ways.

Importing internal imprints via the CMS

How does it work?

Open the imprint list in Excel or another program that can handle it, such as LibreOffice.

The imprint list contains one tab. Here you can create the imprint codes with the associated prices. It's important to know that you don't need to fill in the position, name and dimensions. Do make sure the headers are kept.

Then fill in the imprint list and save it with the character set (UTF-8), as a semicolon (;) separated file, with the .csv extension. (Opening Excel files of type CSV and saving them as UTF-8).

Please note!

You may leave the dimensions and position empty. When an external list is imported, the dimensions and position from tab 1 are used.

What number of colours do I enter?

Don't enter the print colours, engraving or embroidery as words; use specific codes for this instead.

What do I enter under setup costs?

Please note!

The setup costs are a fixed value per colour. This value cannot differ per price tier within 1 colour group.

What do I enter under price tier and how do I set a minimum purchase quantity?

In the imprint list, you can enter multiple imprint price tiers. The price you set for each tier is the unit price of the item including the imprint. The starting tier for the number of print colours is also the minimum purchase quantity of the product with imprint.

What do I enter under price?

You can enter the item's unit price per price tier. This unit price is multiplied by the quantity ordered, so that the total cost can be calculated.

Tip!

You can link multiple print colours to one imprint code. This means that when you add one imprint code, the item has various imprint options. You can also choose to create an imprint code for a specific colour, full colour, embroidery or engraving.

How can I import the imprint list?

Is your imprint list complete and do you want the new imprint codes or changes to appear on your webshop? Then follow the steps below to import the sheet via your webshop.

  1. In your CMS, go to "Webwinkel" (Webshop).

  2. Via the menu on the left, go to "Imports".

  3. At imprints, click "Importeren" (Import).

Importing external imprints via PromoCat

How does it work?

Open the imprint list in Excel or another program that can handle it, such as LibreOffice.

The imprint sheet contains 2 tabs.

Tab 1: Linking imprints to products

Link the imprint code to the variant code to ensure the correct imprint is applied to the item. In this step, fill in the position name and the dimensions of the imprint. This field stays empty in tab 2, but is crucial in tab 1 to correctly link the imprint position to the item.

What do I enter at variant code?

Enter the variant code of the item you want to link to your imprint code. You can find this variant code in your product list under the "Variantcode" (Variant code) column.

Which dimensions do I enter?

Enter the dimensions of the print area. It's important that you also indicate which unit of measurement you use, so it's clear to everyone. This can be, for example:

  • Cm - Centimetre

  • Mm - Millimetre

  • M - Metre

  • Etc.

Which position do I enter?

The position is the place where the imprint goes. These can be locations such as:

  • Left chest

  • Right chest

  • On the clip

  • On the frame

  • Bottom right

  • Top left

  • Etc.

What do I enter at imprint code?

Enter the imprint code you created in tab 2. Place this imprint code to the right of the variant code. This ensures the imprint code is correctly linked to the relevant product variant, so that the right imprint is added to the item.

Tab 2: Imprint codes and prices

In this tab you create the imprint codes, including the associated prices. It's important to mention that you don't need to fill in the position name and dimensions. Do make sure the headers in the spreadsheet are kept.

Which imprint code do I enter?

This code serves as an identifier and should be easy to understand. Make sure the code contains clear characteristics, such as the type of imprint, colour or item category, so you can quickly recognise what the imprint code is for.
