What is a product list?

A product list is an Excel sheet that a user can complete. This Excel sheet can then be imported into the system by PromoCat. In this way, many products can be loaded at once and you always have a backup of these products.

 

Conditions

Before you fill in the product list, there are a number of conditions you must meet. These are requirements imposed by our system. If you do not comply with these conditions, we will not be able to import the product list.


  • Always adhere to our format (Download format). Do not remove any columns that are included in the standard format. These are required columns.
  • Do not add columns that are not in the format or not specified in this documentation. Custom names cannot be imported.
  • The image names in the list must exactly match the file names. For example, if you have "bidon-blauw.jpg", it must appear exactly like that in the list.
  • There must always be an image specified in the "Image 1" column. Without an image, the list cannot be imported. We only support JPG or PNG file types.
  • Product images should be 600 x 600 pixels, which is the ideal resolution. If this is not the case (for example, if the image is wider than it is tall), the image will be automatically scaled to 600 x 600 pixels and any empty space will be filled with a white background.
  • There must always be a price specified for each product (which tier it applies to does not matter). This can be an amount, "on request", or "free".
  • All columns have a limit of 1024 characters. Only the "Product description" column has a limit of 65,536 characters.
  • The file must always be saved with the UTF-8 character set and ";" as the delimiter. We only import UTF-8. If not, you may see characters like "�". It is recommended to save as a .CSV file (More information: Doc. save as .CSV (UTF-8))
  • Every row you create in the list must have a unique variant code. Make it as unique as possible.
    You can do this, for example, with your company name (Example: "PC1000-1, PC1000-2, etc."), where PC stands for PromoCat. A variant code may only occur once per supplier, even if you use multiple product lists (multiple assortments).
  • It is forbidden to use a "/" in the following columns: Product code, Product name, Variant code, Variant name, Image, and Price. This character is a delimiter, and we will not be able to import the list in this case. It is allowed in other columns.
  • When applying updates, we only accept delta (new) images. Existing images do not need to be re-uploaded.

  

How does it work?

Download the product list (Download here).

Then open the product list in Excel or another program that can handle it (e.g., LibreOffice).


All specifications shown here are required specifications. They must always be completed and remain unchanged.


Then fill in the product list and save it with the UTF-8 character set. Preferably save as a .CSV file type and separate with ";" (Doc. save as .CSV (UTF-8)).


Adding categories to my product list

You can also add product categories to your product list. You can do this up to a maximum of 4 category levels.


Important

It is not possible to add products to the standard PromoCat categories. You can only assign products to your own customer categories or create new categories. This is case-sensitive. A difference of a single letter will create a new category.


These categories will then be included during import (on request), and the products will be placed in your webshop under the category specified in the list. You can choose from the following entries:

Adding extra images to a variant

You can also add extra images to a product. You do this by creating a column next to "Image 1", for example "Image 2". You can continue doing this up to a maximum of 10 images.


The main image of a variant is always the most unique image within the product set (based on the file name). If within the same product set (grouping of multiple variants) you have the same image for all variants as "Image 1", and "Image 2" is unique for each variant, then the image from the "Image 2" column will become the main image.


However, if the image is unique across all image columns, then "Image 1" remains the main image.

Important

It is important during import that the file name exactly matches the Excel entry. The system is case-sensitive when importing images. If you have "Afbeelding1.png", there must not be "afbeelding1.png" with lowercase letters in the list.

Adding price tiers and setting minimum quantities

In the product list, you can specify multiple product tiers. By default, "Price > 1" is displayed, where 1 in this case represents both the tier and the quantity.


If you want more tiers for a single product, you can create new columns, for example "Price > 10"; in this case, 10 represents a tier of 10.


If you leave "Price > 1" empty and only fill in "Price > 10", the minimum order quantity will be 10. If you fill in both, the product will have a tier of 1 and a tier of 10.

Adding VAT to a product

It is also possible to add VAT to a product. You can do this by creating a new column named "BTW". Under the "BTW" column, enter the percentage of VAT that should be applied.

There are multiple VAT percentages. You can find an overview of VAT percentages below.

Adding EAN code to my product list
Add an EAN code to a product. This is an important feature for certain deliveries or for Google ShoppingFeed. Click here for more information.

EAN codes are used for Google ShoppingFeed. If you use this and want to add these products to your webshop, you are required to add "EAN code" to your product list. If you do not, your ShoppingFeed will be rejected by Google.

Are you looking for more specifications to distinguish your variants? For example by color, finish, weight, content, etc.? You can use the specifications below.


You can add these specifications in a new column after "Variant name" and before "Image 1". Do this by right-clicking on a column and selecting "Insert". Then enter the desired specification in that column.


Note: You must fill in attributes for each variant of your product set. If you have multiple variants, you must fill them in as well.
