What is a printing list?
A printing list is an Excel sheet that you can fill out yourself. This sheet can easily be imported into the CMS or imported by PromoCat if it concerns an external printing sheet. With this, you can link your own printing codes to products, including the associated values.
Conditions
Before you fill out the printing list, there are a few conditions you must meet. These are requirements imposed by our system. If you ignore these conditions, the printing list cannot be imported.
- Always adhere to our standard format. Do not remove any columns included in this format; these are required columns.
- Do not add new columns that are not in the format or not mentioned in this documentation. Self-invented names cannot be read.
- Always enter a price for each product (regardless of the volume). This can be an amount, "upon request," or "0."
- Indicate if setup costs are free by entering "free," not "0."
- There is no need to mention symbols, such as the euro sign (€), in the list. Our system automatically assigns the currency.
- Setup costs must be the same for each volume within the same color, full color, engraving, or embroidery. They may differ per color.
- Avoid using a "/" in the following columns: Printing code, Number of colors, Setup costs, Volume, Price, or Variant code. This character acts as a delimiter, making the list unreadable. It is allowed in other columns.
How does it work?
Adding prints can be done in 2 different ways.

How does it work?
Open the printing list in Excel or another program that can handle it, such as LibreOffice.
The printing list contains one tab. Here you can create the print codes with the corresponding prices. It is important to know that you do not need to fill in the position, name, and size. Make sure to keep the headers intact.
Then fill out the printing list and save it with the character set (UTF-8), as a semicolon (;) separated file, with the extension .csv. (Open and save Excel files as CSV with UTF-8).
Attention!
You may leave the size and position fields blank. When importing an external list, size and position will be used from tab 1.
Examples include:
Description | Code |
---|---|
Left chest | LC |
Right chest | RC |
Panel 1 | P1 |
Top of clip | B-CLIP |
- Screen printing
- Pad printing
- Digital printing
- Engraving
- Embroidery
- Etc.
Do not enter the printing colors, engraving, or embroidery as words; instead, use specific codes for this.
Code (Add to printing list) | Explanation | Display in webshop |
---|---|---|
fc | Printed in full color | Full color |
g | Engraved on the item | Engraving |
b | Embroidered on the item | Embroidery |
1 | Printed in 1 color | 1 color |
2 | Printed in 2 colors | 2 colors |
3 | Printed in 3 colors | 3 colors |
4 | Printed in 4 colors | 4 colors |
Attention!
The setup costs are a fixed value per color. This value cannot differ per tier within one color group.
In the printing list, you can enter multiple printing tiers. The price you set for each tier is the unit price of the item including print. The starting tier for the number of print colors is also the minimum order for the product with print.
You can enter the unit price of the item per tier. This unit price is multiplied by the quantity ordered, allowing you to calculate the total cost.
Tip!
You can associate multiple printing colors with one print code. This means that when you add one print code, the item has different options for print. You can also choose to create a print code for a specific color, full color, embroidery, or engraving.

How does it work?
Open the printing list in Excel or another program that can handle it, such as LibreOffice.
The printing sheet contains 2 tabs.
Tab 1: Link printing to product
Link the print code to the variant code to ensure that the correct printing is applied to the item. In this step, fill in the position name and dimensions of the print. This field remains empty in tab 2, but is crucial in tab 1 to correctly link the printing position to the item.
Enter the variant code of the item you want to link to your print code. You can find this variant code in your product list under the column "Variant Code".
More information: Entering product list
Indicate what the dimensions of the print area are. It's important to also specify which metric you are using so that it is clear for everyone. This could be for example:
- Cm - Centimeter
- Mm - Millimeter
- M - Meter
- Etc.
The position is the spot where the print will be. These could be locations such as:
- Left chest
- Right chest
- On the clip
- On the frame
- Bottom right
- Top left
- Etc.
Enter the print code that you created in tab 2. Place this print code to the right of the variant code. This ensures that the print code is correctly linked to the corresponding product variant, allowing the correct print to be added to the item.
Tab 2: Print codes and prices
In this tab, you create the print codes, including the corresponding prices. It is important to note that you do not need to fill in the position name and dimensions. However, make sure that the headers in the spreadsheet remain intact.
This code serves as an identifier and should be easy to understand. Ensure that the code contains clear characteristics, such as the type of print, color, or product category, so you can quickly recognize what the print code is for.
